AppFolio Integration, Onboarding Prep

Ready to integrate with AppFolio, check out what you will need on hand for Onboarding! 

Required Onboarding Data

Having this Onboarding Data prepared will ensure a smooth & successful integration with Livable Pro, all details will be completed in the Livable Pro software!

  • Main Point of Contact (POC)
    • Name and contact details (phone & email) for your Onboarding POC.
  • Company Mailing Address will be included as the return address on all Paper Correspondence issued to residents

Integrating with Livable

  • Target Launch Cycle:
    • Billing Cycles run from the 15th-14th monthly, with statements sent automatically on the 15th to residents.

Property Information

  • Common area amenities: Anything impact deductions to ensure allocation accuracy. Additional instructions will be provided for updating this information in Livable Pro , be prepared with what amenities each property has that impact utility consumption.
  • Utility Information: Utility Provider, Utility Type (water, sewer, etc.) 
  • GL Codes: Used to associate the charges to the correct accounts in AppFolio you will need to pick a GL Code for each of the following:
    • Rent (Optional), this would enable Rent to be included on the Livable Statements, please note that if you have multiple Rent GL Codes like Pet Rent, or Garage Rent, only one GL can be set so it may not be recommended for you
    • Default Utility GL Code: This will be used for all utilities, unless otherwise specified
    • Individual Utilities (Optional): You can set a unique GL per utility configuration or the Default Utility GL will be used.
    • Admin Fee (Situational): If you are charging residents an Admin Fee on Livable Pro you will need to set an Admin GL Code
    • Paper Correspondence: Used when a resident is enrolled to receive paper statements, the Paper Fee will associate to this GL Code
  • Payment Information: Required per property to pay for your Livable Pro subscription, this can be unique per property if you need different bank accounts set per property

Resident Billing Information

  • Charge On Date: The day of the month the charges are due for residents in AppFolio
    • Note: Charges will appear as a preview 15 days prior to the Charge On Date, check out this article for more details
  • Admin Fee Amount (situational): If you are offsetting your Livable Pro Subscription by passing through a resident admin fee, we advise no greater than $6. Can be customized per resident.
  • Billing Start Date: The day on which residents begin accruing utility charges; the statements are sent every month on the 15th. Some times Billing Start Date is equal to the residents move-in date, if utilities paid via RUBS is included in the lease, other time it is a later date due to a notice-of-change being given.
  • Utility/Statement Caps (Situational): If your residents have a cap amount per utility, or for a full statement, like a not-to-exceed-rate per their lease you can customize this per resident
