Charge On Date in AppFolio Integrated Properties

Learn how the Charge On Date setting impacts utility billing for your properties using Livable Pro integrated with AppFolio. This article outlines how Charge On Date works, what happens when it’s set (or not), and how it applies to Admin Fees, Custom Charges/Credits, and Allocated Charges.

Key Benefits of the Charge On Date Setting:

  • Consistent charge timing across Livable Pro and AppFolio.

  • Increased control and predictability over how and when charges post.

  • Fewer discrepancies between approved allocations and AppFolio charges.

The Charge On Date is set under each property’s Property Details section in Livable Pro. It determines the default date that utility-related charges will appear in AppFolio unless overridden manually.

You can also override the Charge On Date directly on an individual Allocation Table if needed. If neither the Allocation Table nor the Property Details contain a Charge On Date, Livable will use the system defaults listed below.


Default Charge On Date Behavior (when no date is set):

  • Allocated Charges: Use today’s date when the batch is approved in Livable Pro.

  • Admin Fees: Default to the 1st of the month.

  • Custom Charges/Credits: Use today’s date when posted.


When a Charge On Date is Set in Property Details:

  • Approved Batches:

    • Charge dates will not update. The batch is locked in with the original dates used during approval.

  • Pending Batches:

    • Admin Fees and Custom Charges/Credits:

      • Will use the new Charge On Date, but only in the next billing cycle.

    • Allocated Charges:

      • Will immediately reflect the new Charge On Date once the setting is updated.

      • We recommend reviewing pending batches to confirm changes.

To adjust the Charge On Date:

  1. Log into Livable Pro.

  2. Go to the property’s Property Details section.

  3. Set or update the Charge On Date field.

  4. Optionally, override the Charge On Date directly on a specific Allocation Table if necessary.


Important Notes:

  • The Charge On Date helps align charges with your preferred accounting period in AppFolio.

  • It does not retroactively change the date for already-approved charges.

  • Changing the Charge On Date mid-cycle will have mixed effects—refer to the Pending/Approved behavior above.

  • Use the Allocation Table override when a one-off adjustment is needed without affecting the Property default.
